When it comes to properly reporting and tracking safety data, there are many important processes that come into play.

One standard practice that is completed across thousands of worksites on a daily basis is a Job Safety Analysis. This procedure helps companies both large and small interconnect their health and safety principles to the tasks that their employees are completing. The JSA process, sometimes also known as a Job Hazard Analysis (JHA), is most often associated with tasks that involve the potential for injury or accident. JSAs are often modified and assigned to specific types of work processes, but ultimately the data being collected is focused on identifying and reviewing all the necessary steps to ensure safe work procedures are met before any job is performed.

With the good that comes from the Job Safety Analysis process, also comes the bad. When a JSA is filled out on a piece of paper like it is done within many companies today, the data that is collected is only as good as how it was captured and when it was turned in.  But what does this really mean?

The basic premise of filling out a JSA is to capture the basic steps of a job or task, the potential risks of performing it, and the actions that can be taken to mitigate the potential danger as well as increase safety. Being a home builder within the Construction industry, completing and/or starting 4 new homes per day, was inherently causing paper forms to pile up. The main source of the pile up revolved around their inspection process at each construction site. These multi-page packets of paper that covered every section of the house could take hours to fill out, all while the new home buyer is just wanting the entire process to be over. This led to some home buyers to become frustrated and dissatisfied, which eventually led to a decline in True Homes’ customer referral rate.

On the backend, it was taking the staff in the office a minimum of 6-7 minutes to extract information for reporting purposes. And with over 45 project managers filling out 5 to 10 forms per day, this was equating to an average of 450 hours per month spent on just extracting data from paper forms.

True Homes reached out to GoCanvas to begin the process of streamlining their entire walk-through inspection process.

The Senior Mobile Consultants at GoCanvas began working with the Field Operations Manager at True Homes to develop an 117 question mobile inspection that included built-in scoring. The new mobile inspections, being used on a mixture of iOS and Android devices, were pushed out to project managers of all ages and tech knowledge. While many embraced the new way of doing things on mobile devices, a few were resistant to change after many years of using paper. But after a couple weeks of using the new system, they realized that the benefits far outweighed the initial learning curve.

“At first I was not happy about it. But then I saw that it changes how I work” said a project manager. “It makes my job easier, more efficient.” 

The new mobile inspections helped project managers identify issues within the homes and quickly communicate these concerns to the vendors in order to have them corrected immediately. With the GoCanvas mobile forms the inspections could easily be broken down by the different areas of the home, include embedded site photos, and be quickly completed without dragging the homeowner through a 2-3 hour process. This streamlined inspection process led to issues being resolved before homeowners even realized something was wrong, which ultimately resulted in much happier customers.

Ultimately this led to a 19% increase in referrals from customers in just 12 months.

Since deploying GoCanvas out to their project managers, True Homes has already seen dramatic benefits to their business. Ready for an OSHA InspectionOwners of small- and medium-sized business find the prospect of having an Occupational Safety and Health Administration (OSHA) inspection scary, especially since the agency is now inspecting businesses from bakeries and liquor stores, to construction companies, tire stores, and performing arts companies.

OSHA doesn’t warn you before they send an inspector, so being prepared is the best way to stay clear of citations and fines — especially since fines increased almost 80% over the past year.

Here’s what to expect and how to prepare your company and staff for an inspection:

Know OSHA’s most-cited hazards — OSHA puts out an annual list of its top 10 most-frequently cited standards. Review it – and think of the areas you should focus on during your internal preparations as they apply to your industry.

Develop safety checklists — OSHA puts out a checklist to help you prepare, but consider it a guide. Inspectors routinely develop their own policies via a “General Duty” clause, and will cite your company for violations of regulations that aren’t written down.  Create your own safety inspection checklists specific to your business.

Put an OSHA inspection plan in place — Put a plan in place so that your employees know their roles and responsibilities on inspection day. Assign an inspection team and prepare them in advance with mock questions, and even surprise inspections.

Know what to do on inspection day — OSHA inspections are rarely announced in advance. Knowing what to do when the OSHA inspector actually arrives makes everything run more smoothly. Only offer the inspector documents that he or she specifically asks for, and if you can immediately correct something cited, you should do so.

No matter how well you prepare, OSHA might find something that you need to correct. But with the right preparation, you’ll be less likely to be cited for serious violations that bring large fines. Most importantly, you’ll have a strong system in place to keep your employees safe and free from workplace hazards.

OSHA Requiring Employers to Electronically Submit All Injury Records: 4 Things You Need to Know

Breaking News: OSHA

Starting January 1st, 2017, OSHA began enforcing a new resolution to the Federal Occupational Safety and Health Act. | 404 This new resolution put into place requirements that include the electronic submission of all workplace illness and injury records for the purposes of posting on the Occupational Safety and Health Administration website.

The motivation behind this new workplace regulation is to encourage workplaces across the country to “increase their efforts to prevent worker injuries and illnesses, and, compelled by their competitive spirit, to race to the top in terms of worker safety”, according to the official OSHA website. They have also enacted the new reporting requirements to better enable researchers to analyze safety data from across thousands of workplaces in order to develop new ways of addressing and preventing serious injuries.

Who Does This Affect

This is a far-reaching regulation that is impacting companies of all sizes and industries across the United States.

Criteria for companies required to digitally report injury data using an OSHA 300, 300A, or 301 Form includes:

  • Organizations of 250 employees or more that currently file injury reports using OSHA Forms 300, 300A, or 301
  • Organizations with 20-249 employees that fall within specific “high risk” industries

What You’re Required To Do

Any organization that falls within the criteria of the Federal Occupational Safety and Health Act is mandated to electronically submit all their Summary of Work-Related Injuries and Illnesses reports for 2016 (Form 300A) by July 1st, 2017. The same organizations will then be responsible for submitting all their documentation (Form 300, 300A, 301) for 2017 by July 1st, 2018.

To assist with this reporting process, OSHA has created three different ways that companies can submit their form data online. The three options include:

  1. Webform: Companies can go online and input data directly on the OSHA website.
  2. CSV File: Upload single or multiple reports using an Excel based file.
  3. API Integration: Companies that have recordkeeping software can connect it directly to the OSHA database.

The American Road and Transportation Builders Association (ARTBA) recently declared almost 56,000 bridges in the United States structurally deficient. Almost half of all states fall into the category of having 9% or more of their bridges structurally deficient. According to the ARTBA, “this means one or more of the key bridge elements, such as the deck, superstructure or substructure, is considered to be in “poor” or worse condition.”

More than 25% of all bridges (about 174,000) were reported as being at least 50 years old and never having major construction work. 

This is pretty scary stuff. Officials tend to agree on the need to find new sources of funding for bridge and highway repair projects, as the current funding mechanisms haven’t kept pace with the cost of construction in recent years. However, this data also highlights the potential need for improved bridge inspection processes to ensure accurate data is collected, shared and analyzed quickly. Here are 5 reasons why bridge inspectors should be using mobile forms and apps for bridge inspections. 

Easily document bridge conditions and structures with photos

 If inspections are currently being done on paper, it may not be easy to see visually the extent of damage and it may be easier for folks to put off improvements. If an inspector does happen to have a digital camera, time is probably wasted around getting the photos off the camera, printing them, attaching them to the inspection report and then storing them somewhere in a filing cabinet.
