How Digital Construction Inspections Improve Safety

How Digital Construction Inspections Improve Safety

| |

Construction inspections are performed during all phases of a project to ensure that health and safety standards are being met. Employee health and safety is a top priority for construction companies and there are regulations in place set by OSHA to ensure compliance.

In addition to the inspections that companies perform, OSHA also performs their own inspections of construction sites that can happen at any time to review compliance and issue any penalties or fines.

With the sheer volume of construction sites, it means that OSHA has to prioritize where they are performing inspections. According to the OSHA fact sheet on inspections, they prioritize based on a specific set of criteria:

  • When they hear of imminent danger situations
  • When severe injuries and illnesses are reported
  • When workers complain anonymously
  • When various agencies or organizations refer potential hazards
  • When workplaces are known historically to be high hazard
  • When they are performing a follow-up inspection

The prioritization of inspections is effective to incentivize employers that follow the rules and implement health and safety best practices. The goal is to have thorough construction inspection processes in place so that you are identifying issues, or your employees feel like they can come to you first with their concerns, and issues can be appropriately addressed. Having these processes in place is good for your employees’ health and safety, as well as your company’s productivity and bottom line.

The traditional method for performing a construction inspection has been on paper forms. But anyone who has dealt with paper forms knows how inefficient that process can be. Some of the pitfalls of paper forms include:

  • Lost or misplaced forms buried in filing cabinets
  • Human error when filling out the form
  • Incomplete or inaccurate data that causes issues later
  • Sustainability concerns with heavy usage of paper

The current shift in the construction industry is a move toward digital transformation, where documents live as secure files in the cloud and can be filled out via mobile devices on construction sites.

You can see how this type of solution solves the challenge of paper forms, ensuring that documents are easy to find, are filled out properly, and are in line with sustainable practices, reducing paper usage.

With all of this information now available in real-time, another win for construction companies is the ability to analyze the data to understand safety trends and to have the necessary reports available when they are needed most.

Data and analytics have been slow for adoption in the construction industry, but data analytics is quickly becoming one of the greatest assets for improving productivity, ensuring safety and compliance, and tracking and reporting on key elements of business operations.

A recent article from Health and Safety magazine cited data from OSHA that summarizes their annual report of the top 10 health and safety violations. Below is a summary of the data for the construction industry violations in FY 2021:

  1.     Fall Protection – General Requirements (1926.501): 5,295 violations
  2.     Respiratory Protection (1910.134): 2,527 violations
  3.     Ladders (1926.1053): 2,026 violations
  4.     Scaffolding (1926.451): 1,948 violations
  5.     Hazard Communication (1910.1200): 1,947 violations
  6.     Lockout/Tagout (1910.147): 1,698 violations
  7.     Fall Protection – Training Requirements (1926.503): 1,666 violations
  8.     Personal Protective and Lifesaving Equipment – Eye and Face Protection (1926.102): 1,452 violations
  9.     Powered Industrial Trucks (1910.178): 1,420 violations
  10.     Machine Guarding (1910.212): 1,113 violations

OSHA reveals this data to create awareness around the top hazards in the workplace so that employers can proactively address health and safety issues that are very much preventable. In the next section, we will cover how you can improve construction health and safety programs with digital construction inspections that can help to minimize your risk from the top 10 violations cited by OSHA.

Leveraging digital technologies and the use of mobile apps can help you formalize your safety management programs. It will help you store inspection and training records in case you need to show documentation, helping you to stay compliant and avoid fines.

A benefit of using GoCanvas for your safety management program is that we have hundreds of pre-built construction inspection templates, checklists, and incident reports that your company can leverage and customize to fit your unique needs.

Inspection Checklist Examples & Templates

Inspection Checklist Examples & Templates

| |

Inspection checklists are designed to improve the inspection process by providing staff with an easy-to-use template on the best practices to follow for that inspection. You will see that many different industries use inspection checklists when performing their evaluations and assessments required for the job.

This blog article covers some of the top use cases for inspection checklists and we have included links to the corresponding template you can use to get started for free. Here are some common examples covered in this post:

  • Home inspections
  • Commercial vehicle inspections
  • Building inspections
  • Safety inspections
  • Equipment inspections
  • Operational inspections

Certified home inspectors use checklists in their inspections that guide home buyers and real estate agents when making real estate decisions.

The home inspection is a critical part of the home buying process. It helps ensure that all parties in a real estate transaction are confident that a home is in good condition. It also provides existing homeowners with an opportunity to make home improvements to avoid any deal breakers.

An inspection that reveals serious problems such as termites or asbestos can trigger an inspection contingency that provides potential home buyers with the opportunity to back-out of the purchase of a home.

The inspection will typically check many areas and elements of a home, including water heaters, downspouts, crawl spaces, HVAC systems, electrical systems, radon levels, water damage, and much more.

In this example, the purpose of a checklist is to help the home inspector by providing a process to follow when performing the inspection. This helps to ensure that the inspector can identify all potential problems and doesn’t overlook something important.

Home inspection checklists sometimes also have subtypes that are designed to help with more specialized and niche evaluations.

For example, a general home inspection checklist may briefly cover roofing, HVAC systems, or electrical systems. But a roofing contractor may have a more specific inspection checklist that helps evaluate the state of the shingles on the roof. An HVAC contractor may check for items such as airflow. An electrician performing an inspection may check wire splices, light switches, and other more specific items.

There are many different types of home inspection checklists depending on the use case, and you can find all of these examples and templates available in the GoCanvas app store.

Another important category of inspection checklist is for the commercial vehicle business. These checklists help companies that operate semi-trucks, motorcoaches, shuttle buses, limousines, fleet vehicles, work vans, and other commercial vehicles.

Commercial vehicles come in many different forms and have specific requirements related to what inspections need to be evaluated or the frequency in which inspections need to occur.

Checklists help these vehicle operators to ensure that:

  • Maintenance occurs regularly
  • Early warning of problems occurs
  • Vehicles can operate on the road safely

These types of inspections look very different, depending on the type of vehicle. For example, a fire truck inspection checklist will include very different elements than a motorcoach checklist or limousine checklist. GoCanvas has many free examples of vehicle inspection checklists in our app store that can be used for your business as a template to get started.

Inspectors of non-residential buildings or multi-family residential buildings use checklists for various purposes and at different stages of the building’s life.

Some building checklists are most effective during the construction process or immediately following the construction of the building. These ensure that vital elements of a building are working correctly, and everything has been built properly. Here are some common examples of building checklists:

  • Electrical inspections use checklists to ensure the proper installation of electrical panels or sprinkler systems’ operational ability.
  • Regular maintenance use inspections on air conditioning systems or septic systems for functional buildings.
  • Exterior inspections are performed for items such as rotted wood to ensure facades are visually appealing to visitors.
  • Safety and equipment inspections occur for things like fire safety inspections to check exit doors, exit signs, fire extinguishers, first aid kits, sprinkler heads, and other important safety elements.

You can find more examples and templates of building inspection checklists here.

Inspection checklists are used by different kinds of businesses that operate equipment. This applies to businesses that are using heavy equipment or expensive, mission-critical equipment.

Inspection checklists promote the equipment’s long-term viability and operation, while also ensuring the safety of workers and equipment operators.

Technicians or workers use equipment inspection checklists at regular intervals (e.g., daily, weekly, monthly, or annually) to stay ahead of equipment malfunctions and failures. They help experienced maintenance personnel perform inspections and they also help less experienced technicians that don’t have specialized training and need to be prompted to check various items.

Equipment inspections can also help businesses identify when equipment may need to be replaced. Since specialized equipment can often take days or weeks to replace, it’s very helpful for businesses to know in advance so they can plan for any downtime that will occur.

For businesses that deal with expensive or sensitive equipment, these inspection checklists are critical for ensuring the longevity and reliability of equipment.

Safety inspection checklists are designed to check key elements that improve public safety and worker safety. These may sometimes overlap with commercial vehicle, building, and equipment inspection checklists.

In general, safety inspection checklists are meant to provide users with an opportunity to evaluate tools, personal protective equipment, fire extinguishers, forklifts, work areas, and other elements for potential hazards or mitigators for hazards.

There are many different types of safety inspection checklists that exist, but here are a few familiar examples:

  • Hotel pools
  • Overhead cranes
  • Facilities inspection
  • Food preparation and production

Safety inspections are powerful tools not only for promoting the safety of workers and the public, but they are also important tools for businesses to mitigate legal exposure and reduce risk. These checklists can highlight warning signs for businesses, prompting the installation of safety features such as guardrails or handrails, generating a need for evacuation plans, or helping to identify other corrective actions.

For some businesses, there are operational considerations that warrant regular inspections and checklists. Here are some common examples of operational checklists:

  • Hotels and housekeepers use inspections to ensure rooms are properly cleaned and set up for guests.
  • Supervisors for building janitorial workers use inspection checklists to ensure that cleaning items have all been conducted.
  • Swimming pools and spas use inspection checklists to ensure that various maintenance procedures occur regularly.

There are countless examples of how businesses might use an inspection checklist to serve their needs. GoCanvas is a great option for creating your checklists. The platform is highly customizable for all types of businesses and the ability to create mobile forms will eliminate paperwork and streamline your operations.

Construction Innovation: 4 Tools To Help You Succeed

Construction Innovation: 4 Tools To Help You Succeed

| |

Construction projects and the construction industry stand to benefit from access to various innovative technology tools.  Construction companies that integrate real-time data and analytics can leverage automation to improve safety, decision-making, and knowledge management. This intelligence is critical for the protection and optimization of human resources and building materials allocation. In a traditional model, construction companies use daily reports, inspections, timecards/timesheets, and work orders as components of the construction process. Using these tools requires time and effort to incorporate into workflows on a construction site functionally. With cutting-edge construction technology, companies can automate data capture to monitor key metrics and improve the bottom-line. Companies in the construction sector need to incorporate digital tools and positively disrupt their current workflows to stay competitive in the market. We identified four specific digital tools to help construction companies streamline operations.

Daily reports utilized on construction sites are necessary to track construction jobs’ ongoing progress while also documenting job site disruptions and safety concerns. These reports typically include information populated by a manager, foreman, project manager, or other senior personnel to create a summary of the day-to-day progress on a job site. The elements in different reports can vary significantly from one construction daily report to another. Some may note weather and site conditions, while others can list the critical construction items completed that day and provide notes about the work done. Generally, daily reports summarize significant accomplishments onsite, materials and equipment used, subcontractors onsite, personnel attendance, safety incidents, or building defects and exceptions.

Most construction companies today use traditional daily paper-based daily reports. However, it can be difficult to extract usable data based on these reports because it requires a time-consuming manual process and is prone to human error. These reports can provide a record of the construction project that can address stakeholders’ concerns or effectuate compliance with OSHA requirements. Companies can use GoCanvas daily reports to reveal trends in construction projects and more accurately predict project lifecycle. It’s easier to manage the construction process and make real-time decisions if data capture is automated and visualized.

Construction inspections are vital to operations and safety. They also need to be custom-built to the specific needs of a project. In many cases, pre-built templates may not work. Some inspections may run through a checklist covering site access or PPE, while others may focus on project details like equipment or building inspections. A significant problem with traditional construction inspection methodologies is the static nature of these forms and the absence of real-time data to inform key stakeholders and the construction process. With GoCanvas’ construction inspection app, construction companies can undertake a more dynamic approach to construction site inspections. The customizable nature of GoCanvas’ tools means building- or job-specific inspections can improve performance and insights. For example, GoCanvas can integrate images of blueprints or 3D models of buildings or construction plans into the inspection app. Users can follow prompts to specific construction project components that require inspection.  Users can differentiate between various types of structures with specific inspection requirements into one or more GoCanvas apps. For example, residential home inspection requirements will differ from the inspection requirements for an industrial facility construction site. Real-time data can highlight problems in the construction process or unfinished items to redirect workflows to enable the successful completion of jobs in a timely and efficient manner.

Construction companies often track multiple employees, workers, and subcontractors on a job site. Traditional use of timecards or timesheets typically required employees to punch-in or punch-out, or rely on self-reported timesheets. One problem with paper-based timesheets is they can are vulnerable to false data (writing down an earlier time for arrival at the job site) and cumbersome to add to a payroll or human capital management system. With dynamic timecards and timesheets offered by GoCanvas, construction workers can either enter time manually with date/time-stamped entries or use GPS functionality to check-in when they arrive at a job site. Workers can then check-out when they leave with an integrated time-stamp used to calculate hours worked. This process saves time and money and ensures records are accurate. It also minimizes the time required to submit payroll or contractor pay through human resources departments. GoCanvas directly integrates with Quickbooks but can also work with other payroll systems and solutions.

Construction work orders provide vital functions on a job site. They can effectuate contracts, summarize work to be completed, track information about individuals who request or authorize work, request required services and job elements, note the tools or materials needed, and more. Paper-based work orders require multiple layers of review and approval for submission, and typically, an order may execute only once materials, labor, and equipment are secured. Companies can quickly and easily achieve approvals with GoCanvas’ digital work orders. The requisitioning of materials, labor, and equipment can take place automatically and with far less effort than is required with traditional paper-based work orders. GoCanvas can utilize Java and .NET frameworks with the APIs of popular project management systems to effectively couple real-time data with automation to ensure work orders are integrated more efficiently into the construction process.

Three Key Benefits of Near Miss Reporting

Three Key Benefits of Near Miss Reporting

| |

Near miss reporting is often described as a free lesson because it enables companies to proactively resolve hazards before a tragic or costly incident occurs. When a worker discovers a potentially dangerous situation, completing a near miss report means the risk can be resolved before it causes harm to their teammates.

Additionally, safety managers can use data from near miss reporting to improve training programs, develop safer work processes, and fix any faulty equipment that could lead to an accident. Proactive safety programs can be developed from compiling near miss data, giving employers the opportunity to resolve systemic risks and provide their crew with the latest safety measures on a daily basis.

When your crew knows that their safety is a priority within your business, morale inevitably goes up. Providing your workers with the resources and training to identify and report near misses helps them know that their well-being is an important aspect of daily operations.

It is important to train your crew on what defines a near miss, why it is important to report such hazards and to lay out a clear reporting process. Many organizations streamline the reporting process with safety management software that includes established checklists and forms for near miss reports. Using a digital solution also gives workers the opportunity for anonymous reporting and saves time that would be spent filling out and delivering paperwork.

As you establish safety programs, remember that the goal of near miss reports is to keep your workers safe and get them looking out for possible risks. This could even include making the narrative around reporting to focus on learning lessons and good catches, rather than a blame game and punitive measures. So many workers may feel uncomfortable reporting near misses for a variety of reasons. You’ll want to change the outlook to recognize their efforts and celebrate the fact that you’re growing safer at your company every day.

Reporting a near miss can ensure that future incidents and injuries are avoided. It keeps your workers safe and helps companies reduce the costs associated with workplace incidents, such as medical expenses, time lost due to injury, accident investigation, and equipment replacement.

Preventing accidents before they happen also means that your worksites can naturally keep up with the latest OSHA regulations. Potential hazards and risks will be removed as they are reported, which means a safer worksite that meets compliance requirements.

Looking for a safety solution that will provide the benefits of near miss reporting to your team? GoCanvas Safety includes pre-built digital forms so you can streamline your reporting and resolve hazards before incidents occur. Customizable reports and turn-key dashboards mean you can regularly audit and update your safety program, so you can focus on the human factors to keep your team safe. Learn more here.

The Background

US Inspect is the leading residential inspection company in the United States. For over 30 years, they have delivered residential inspections to thousands of home buyers and sellers across America.

The Problem

US Inspect provides each of their customers with straightforward and simple solutions to solve some seemingly complex problems, but before coming to GoCanvas, their paper-intensive processes hindered their efficiency. Before finding GoCanvas, US Inspect managed all information through Excel spreadsheets and email. These processes hindered the company’s growth and sparked their search for a data collection solution. As the company grew, JB Haller, CEO at US Inspect, realized that they needed a solution to give them a more efficient way to organize and analyze their data.

The goal was to find an application to streamline all of their forms. US Inspect wanted a platform that was easy to use for both its experienced inspectors and young engineers.

The Solution

GoCanvas was the answer! Once they adopted GoCanvas it didn’t take long for the staff to be up and running smoothly. Within weeks they were realizing the advantages GoCanvas brings.

The company hasn’t stopped there. Since the implementation of GoCanvas, the company has saved thousands of hours of tedious labor and created a competitive edge. The receiving form that used to take them thirty minutes now only takes them five. Techs no longer forget to fill out fields or photos as the required field feature ensures complete and consistent submission data each time. The company plans to continue building upon its integrations to maximize the efficiency of its business and make the most out of the GoCanvas platform. As GoCanvas helps improve US Inspect’s productivity, US Inspect is able to focus on delivering a wonderful customer experience by delivering a tailored solution for each of their customers.

Realizing the Benefits of Going Mobile

The company’s automated data collection has allowed the company to focus on providing the best service available. With better data visibility they are able to more accurately understand how the business is doing and where they can improve.

  • Significant talent acquisition advantage
  • Higher quality, faster deliverables
  • Minimal development resources
  • Fast failures (and successes)
  • Winning jobs and market share
  • Enhanced customer journey

Overall, US Inspect has seen a major increase in the accuracy of their reporting and visibility into daily operations. Even with over $664,000 + of productivity hours recovered every year, they are continually searching for new ways they can implement GoCanvas to save more time and money!

How to Create a Roof Inspection Checklist

How to Create a Roof Inspection Checklist

|

The GoCanvas system can be used to optimize nearly every element of a building inspection, including the roof inspection process. The process of completing an attentive roof inspection is both incredibly tedious and immensely important. Here is a quick look at how you can create a digital roof inspection checklist that can help you streamline this process while improving accuracy and efficiency!

Getting your roof inspection checklist started is simple when you have an advanced app creation system like GoCanvas. First, make sure that you have your GoCanvas account set up. Accessible from both a computer desktop and the GoCanvas mobile app, you can create and access your roof inspection checklist from almost anywhere. Once you have your GoCanvas account ready to go, you can access a wide variety of templates within the GoCanvas Application Store, which will help you create your perfect roof inspection checklist app!

To create your roof inspection checklist, you can start from scratch by creating a completely custom app or skip a few steps by using the Roof Inspection Checklist pre-built template. This app includes advanced features like Signature Capture, the ability to upload databases (like material lists), Workflow, and Dispatch. With the GoCanvas Roof Inspection Checklist template, you will find that necessary form fields and inspection elements are already included within the desired format. This app template can help you save time with the roof inspection process.

Next, you can customize your checklist to accommodate your company’s unique roof inspection process. Add, delete, or edit the desired checklist fields until your complete process is accounted for. You can make the roof inspection checklist as detailed or as brief as you prefer, with no included limitations on the number of form fields you can add. You can then include your company’s name, logo, and other branding elements to make the checklist unique to your business.

Once you finish personalizing your Roof Inspection Checklist, your app will be ready for immediate use. You can share this app with your entire team to get everyone on the same page. Enhance your company’s productivity by providing your employees with tools that encourage their best possible performance.

This advanced inspection checklist app can also provide clarity to your customers and other third parties. Send this checklist to insurance companies for claims, or use this app to create invoices and sales orders for roof replacements and repairs. If any element of your roof inspection process changes over time, you can effortlessly revisit and edit your app to reflect your new inspection process.

Auto Repair Apps that Will Save You Time and Money

Auto Repair Apps that Will Save You Time and Money

|

With the introduction of mobile forms applications, businesses within the automotive repair industry could increase productivity and profitability. According to recent statistics, 75% of drivers will visit auto repair shops for vehicle service. If each of these vehicle service visits were managed with the quick efficiency that mobile automotive repair apps provide, mechanic shops could save a significant amount of in-house time and money, and millions of drivers could save time on their mechanic visits each year. Learn more here about auto repair applications that can help you optimize and mobilize your mechanic business.

While estimates may have been a time-consuming task for your shop in the past, mobile apps make it a quick and manageable process. Costs, including sales tax, can be calculated for you within the app, eliminating the risk of mathematical errors. By using a mobile automotive estimate app, you can provide efficiency, accuracy, and clarity to your drivers during your car repair estimates.

The routine nature of vehicle inspections can make it easy for you to make a mistake.   By using a vehicle inspection form, you can easily input data directly into your mobile app.  Fields marked as “required” will be unable to be skipped, so you won’t ever risk missing a necessary data input section. You can also eliminate legibility issues and other common mistakes in both data entry and interpretation with the unmistakable ease and clarity that mobile vehicle inspection apps provide.

The payment process of your business is what keeps your mechanic shop afloat, which is why you should trust only the most secure and efficient processes. Not only are paper payment processes more time-consuming than the mobile variant, but they are also costly and disorganized in nature. With a Square-enabled GoCanvas app, you can accept payments directly from your mobile device. This makes on-site payments possible no matter where you are completing repairs. With the power to complete payment processes from anywhere, you can break through traditional payment challenges that often face automotive experts.

Organized vehicle service visits are the key to any successful mechanic business. Keep your service process organized with a customizable automotive repair checklist. You can use a template to build the vehicle service fields that your business requires, making sure that each step of your service processes are consistently followed with each vehicle. You can even make a customized checklist for each service offering your automotive repair shop offers. These checklists can help keep track of completed tasks in a vehicle service visit while maintaining transparency of the maintenance and repair processes with your customers.

Quicken the repair order process with mobile repair order forms. With mobile car repair order forms, you can document vehicle information; detail the service request; list all needed parts, labor, and supplies; and capture customer signatures from the convenience of your mobile device. Mobile car repair order forms are designed to eliminate the risk of incomplete or illegible information, providing reliable documentation of your completed mechanic work.

If your automotive shop offers detailing services, there are specialized apps designed to help your detailers stay on-task, ensure all aspects of the detailing process are completed, and increase productivity. By taking advantage of mobile Vehicle Detailing Customer Check-In Sheets or the Auto Detailing Checklist, you can organize your automotive detailing work. With the efficiency that these apps provide, you can make your detailing service more consistent and profitable than paper processes allow.

Does your repair shop also offer towing services? You may be familiar with the difficulty of completing paper processes while on the go. Because a large portion of towing work is done out of office, you can have your towing forms on hand with the help of a mobile forms application. This digital towing form application will also help ensure that the form does not become lost or damaged throughout the towing process.

To optimize your automotive business, partner with the outstanding mobile automotive service apps that GoCanvas houses. Mobile conversion can help you save on your paper costs and reduce in-house inefficiency and error. Each unique GoCanvas app can provide you with a new way to optimize your internal and external automotive processes. Try GoCanvas for free today!
