Brent: Absolutely! The Studio is our next-generation form and workflow-building platform. It’s a modernized, all-in-one tool that combines the power of our Builder, Designer, and workflow collaboration features. We’ve built it from the ground up to deliver a streamlined, intuitive experience for our customers. The first feature we’re rolling out in The Studio is Quick Start, which allows users to upload a PDF of their existing forms, drag and drop fields, and test their mobile data capture solution all within the same space. It’s fast, super simple, and designed to get teams who are new to digital data collection up and running in minutes.

Q: What inspired the creation of The Studio?

Brent: We know how painful it is to be asked to take time out of your busy workday to learn another new tool. Over the last 17 years, we’ve learned a lot about our customers’ mobile data capture needs. The Studio was born out of a desire to combine everything we’ve learned and deliver a new solution that’s the easiest to use in the industry without sacrificing the powerful flexibility our customers know and love. With Quick Start, we’re addressing a key pain point: “Make it way easier for businesses to start filling out digital forms.”

Q: Who will benefit the most from Quick Start?

Brent: Quick Start is perfect for anyone who wants to simplify mobile field data capture. It’s especially great for:

Brent: Yes, Quick Start is designed for simplicity, so it doesn’t include some advanced features like conditional logic, loops, or GPS fields. It’s perfect for straightforward forms but not ideal for complex workflows. That said, we’re continuously evolving The Studio, so users can expect more advanced features to be introduced over time.

Q: What about AI? How does it fit into the future?

Brent: We’ve identified a handful of areas we believe AI can help our customers turn 5-minute processes into 5-second processes. Assisting in building forms and workflows, helping review and interpret your data, and making it easier to fill out forms are three areas we’re actively exploring. To be clear, we have no interest in adding AI for the sake of adding AI. We’re only interested in investing in AI solutions that will genuinely help our customers. Much more to come on this soon!

Q: What’s next for The Studio?

Brent: This is just the beginning. We’re planning to add even more functionality, including an AI form-building assistant that will make creating complex forms and workflows faster and easier than ever. New field types, more robust report designing, more flexible processes, and even better API support are all coming. Our goal is to make The Studio the go-to platform for all mobile data capture needs, whether you’re a small business or a large enterprise.

While making fields required will give you more complete data, creating standard fields will help you to get more standard data. Standard data may seem unimportant, but when you go to run a report you will find that standard fields ensure you have accurate reporting.

Take for example a form field that is asking you to fill out a client’s address, including their state. If the client lives in DC, your submission from the field could be formatted as several different options (i.e. Washington, Washington, D.C., DC, etc.). When you go to run a report of all clients in DC, you may be left with incomplete data since the spelling is inconsistent throughout your data.

The best practice here is to standardize how you collect data with the digital form. By making the state field in this example a “drop-down” list with predetermined options, your data will come out uniform. Be careful with open-ended form fields and instead use a drop-down list or check boxes to ensure information is formatted consistently across submissions.

By moving from paper forms to digital submissions, you have the ability to include new types of media in your submission. Including images can be added to your form, so that an employee can take photos on their mobile device and have it attached to their submission.

This can be useful for things like inspections, where you also have a report that is generated after the completed inspection. Showing images in those inspection reports bring greater detail and more value for the client to see exactly what is being documented in the report.

Signature capture is an essential part of many forms, from invoices and quotes to inspections and audits. This feature is simplified with digital forms, giving your teams the ability to sign documents directly from a tablet or mobile device. Make sure that you include signature capture on any of the forms where you need to verify approval or want a digital record in the future of an agreement between parties.

I’ve worked in the safety & health field for the better of 20 years, inspecting thousands of job sites and facilities. I, like most people, used a clipboard and notepad. I’d walk around writing down what I found.

When I started in safety, this was the only way to do it. We’d then have to regurgitate all the data into something others could understand and act upon. As you can guess: it was very, very time-consuming. I would spend almost twice as much time creating the reports as I did conducting the inspection.

Now, I still conduct inspections frequently, as do my staff. We’ve ditched the clipboard and pens: We all use our smartphones or tablets. Prior to finding GoCanvas, we were already using electronic devices. Basically, it was an electronic clipboard and pad of paper. This method still required a lot of additional work back at the office, but at least some of the work was cut and pasted.

Inspections happen in the field, away from the office. Before, I would write out all my notes in the field, go back to the office, type out all the notes again, download pictures and try to match each picture to the finding. It was slow, painful, and inefficient. 

Using GoCanvas. I type out my notes, take the picture in the app, load GPS coordinates and email it to myself. If anyone else needs to see it immediately,  they can be added to the distribution list. Do it once, finish it out in the field, and easily find the submission later.

Inspections can be sent to whomever, once complete. This is great, especially if I have a finding that creates an imminent risk to life or health and needs immediate attention. After the inspection is complete, I can go back to the office to edit/modify/clarify the text, add regulator references or company standards that apply to the finding. Then, I send it out to the people responsible for correcting the issue or for review.

Since it’s done once, operations have become more productive. With all the details and pictures automatically grouped together in the finding, people can find the location and easily identify what needs to be corrected.

I don’t have to go out to the location again and point to the deficiency. I don’t have to worry about mismatched photos or unreadable text. We save time by preventing these common misunderstandings and mistakes. GoCanvas makes the work go more smoothly.
