ACE Electrical and Communication is a Western Australian-owned and operated company. Established in 2006, ACE offers a comprehensive range of electrical, communication and security services to Perth’s domestic, commercial and industrial sectors.
At ACE, no job is too big or too small. Whether an individual needs a qualified technician to install energy efficient lighting at home, or a business needs the design and installation of commercial network cabling, ACE has the equipment and the personnel to get the job done to the highest industry standards.
While ACE was trying to provide the highest quality service, paper wasn’t serving the company well. ACE was using paper forms for a variety of processes, including time cards, material orders, even air conditioning decommissions. This led to large piles of paperwork. Each company vehicle, for instance, had its own massive file.
The end result? Adam Taylor, Managing Director described it as being, “a nightmare, constantly chasing the boys and girls for paperwork. Then when you received it, the condition of the paper was usually in a bad state.”
Of course, the work didn’t end there. Add on the labor costs for filing and monitoring as well as storage, and the cost of paper continued to rise. With slow turnaround, and weak information, ACE Electrical and Communication could no longer see the benefits in using paper.
In June 2013, ACE Electrical and Communication switched to GoCanvas the global leader in mobile apps for business. Thousands of organizations leverage Canvas’s cloud-based, “Software-as-a-Service” mobile app platform to replace cumbersome paper forms with highly customizable mobile business apps.
Businesses can search from over 14,000 ready-made apps in the GoCanvas Application Store that can be customized to an individual business user’s needs. In addition, GoCanvas offers a do-it-yourself app builder that enables non-technical users to build apps in minutes.
Over the past year ACE Electrical and Communication’s technicians have stopped using paper and started to use iPhones and GoCanvas mobile apps. The company has discovered measurable results, including:
Working throughout Perth, ACE’s technicians aren’t often in the office. Previously, getting information from the field to the office was slow. It could take hours or days for technicians to return to the office with their paperwork. The end result was a delay in internal communications, as well as in customer service. “Customers,” Adam said, “would have to wait several days” for invoices.
Today, technicians for ACE Electrical and Communication capture and share information in real time. All forms filled out with GoCanvas are sent immediately to the cloud. For example, if a technician fills out a job card across town, the information is immediately available in the cloud. The technician can send a PDF version of the job card to the customer or to the office manager’s email. What once took hours or days is now available in minutes.
This real time benefit also provided ACE savings to their bottom line. Adam explained that switching to GoCanvas has saved them, “3 hours per day in downtime. That is about $68,000.00 per year just in labour let alone the cost of the paper!”
In other terms, ACE saves 600 hours, if they work 40 weeks a year. That’s hundreds of hours they can now use to perform more services and handle other areas of critical importance.
ACE also receives stronger and more accurate information with GoCanvas. Previously, forms would return to the office with ambiguous handwriting, missing fields and/or inaccurate calculations, if they returned at all! Paper forms required more work reaching out to technicians and trying to find answers to jobs that were days or even weeks old.
Adam Taylor was sick of these paper-based processes. “Why should I shuffle mountains of paper when I could be home spending time with my family!” Adam said.
With GoCanvas, all of these forms come back to the office with clear text. ACE is also able to harness their own information, such as price lists, to prepopulate sections of their forms. So technicians simply enter what was used and GoCanvas brings up the item’s price. Not only does this make the report faster for the technicians, but this also reduces the possibility of errors.
In addition, GoCanvas makes it easy to ensure fields are required. With paper, nothing stopped a paper form coming back only half-finished. A technician can skip a field in the GoCanvas mobile app, but if a field is required, the technician won’t be able to submit the app until the required fields are completed. ACE no longer struggles with missing information in their forms.
As a cloud-based, mobile platform combined with an easy-to-use mobile app builder, GoCanvas provides ACE Electrical and Communication the flexibility to add new features and functionality to any of their mobile apps. As needs evolve and change, GoCanvas makes editing apps a frictionless process.
For instance, as materials change, it’s easy for ACE to upload a new list of materials and new prices into their GoCanvas apps. They don’t need to rely on IT support or have any knowledge of coding. With GoCanvas, it’s a simple drag and drop interface that anyone can use.
Other mobile app alternatives make this process cumbersome or costly, weakening the effectiveness of their platforms. With GoCanvas it is a frictionless process at no additional cost.
“It is now 2014 and modern technology has to be embraced,” says Adam Taylor. “The 1980’s and 90’s are over. OH&S and customer demands are extreme now and I believe any business not adopting this concept won’t survive.”
Today, ACE Electrical and Communication has ditched paper for mobile apps. Having taken back time in their workday, they can focus on what they do best: providing great work to the people of Perth.
