The name of the employee making the journey and the department that they work for must be detailed, along with any passengers that might be traveling with. Before departing, a full inspection of the vehicle for any hazards or risks should be made of the vehicle. A listing of the administrative assistant that will be contacted during the journey and once the destination has been reached will also be noted, along with how contact will be made. Full details about the journey and destination should also be noted. Time of departure, estimated time of arrival, and any possible stops on the way should be listed. The weather conditions and conditions of the roads being traveled on should also be checked and described. If any possible conditions should be deemed hazardous, the journey should be postponed.
